Key Responsibilities

  • Provides excellent customer service to prospective and current families by greeting, assisting, and responding to inquiries about the school and application process via various channels.
  • Arranges and prepares itineraries for school visits and tours often involving multiple stakeholders.
  • Maintains and updates student data and files for the Admissions department in hardcopy, electronic files, and the School Management database.
  • Prepares correspondence on behalf of the department to communicate invitations, admissions decisions, etc.
  • Liaises with other departments to share relevant information.
  • Assists in coordinating and attending Admissions events.
  • Supports different School Programs by attending meetings, providing information, and liaising with new families.
  • Provides administrative support to the Principal and management team.

This position works Monday-Friday from 8:30am-4:30pm but this role requires flexibility as you may be required to work beyond the standard hours (weekends and after school) to support Admissions events and activities.

Qualifications

  • Minimum Grade 12 Secondary School diploma or post-secondary diploma or certificate in Office Administration.
  • Minimum three (3) years’ administration experience.
  • Previous experience in an administrative role, preferably in an educational setting.
  • Demonstrated ability with advanced Microsoft Office applications.
  • Exceptional organization skills and attention to detail.
  • Excellent writing, editing, and communication skills.
  • Knowledge of the full range of administrative procedures, processes, and protocols for an office, including correspondence management, logistics, preparation of a variety of documentation for reference in student and team meetings, and event planning.
  • Strong sense of professionalism and ethics with a demonstrated ability to handle sensitive or private information with tact and discretion.
  • Ability to prioritize and manage conflicting demands with skills to assess incoming correspondence, telephone calls, visitors, and complaints for attention and referral.
